Job Description

Field AI is transforming how robots interact with the real world. We are building risk-aware, reliable, and field-ready AI systems that address the most complex challenges in robotics, unlocking the full potential of embodied intelligence. We go beyond typical data-driven approaches or pure transformer-based architectures, and are charting a new course, with already-globally-deployed solutions delivering real-world results and rapidly improving models through real-field applications.

We’re hiring an Office Manager for our Boston office to lead administrative operations, streamline workflows, and foster a welcoming office culture. The goal is to make day-to-day operations seamless, support staff effectively, and maintain an organized, safe, and efficient work environment. You’ll act as a key liaison between staff, leadership, and external parties, balancing operational excellence with interpersonal skills. This is an in-person role, expected to be in the Boston office five days per week.

What You’ll Get To Do
  • Manage Office Operations & Administration
  • Oversee daily office functions including scheduling, supplies, equipment, and facilities.
  • Coordinate and communicate closely with office managers at our other offices on processes.
  • Serve as the office receptionist, greeting visitors, interviewees, and managing visitor access.
  • Coordinate with vendors, service providers, and building management to maintain a smooth office environment.
  • Handle deliveries, mail, and courier services efficiently.
  • Organize and maintain office supplies, equipment, food, drinks, and snacks.
  • Coordinate office maintenance requests (e.g., liaising with the building manager, parking coordination, and building maintenance reminders).
  • Coordinate with IT on office technology needs and equipment management (e.g., tracking/shipping/returns of computers, monitors, printers, etc.).
  • Help maintain any office operational procedures (e.g., safety postings).
  • Support Team and Leadership
  • Act as the primary point of contact for Boston office-related inquiries.
  • Help welcome new Boston employees in coordination with HR.
  • Organize office events, team-building activities, and holiday parties.
  • Assist with booking flights and travel for the Boston office team.
  • Support internal communications and scheduling reminders for staff.
  • Streamline Processes and Communication
  • Implement and optimize office processes, tools, and documentation for efficiency.
  • Track budgets and expenses for office operations, reporting to leadership as needed.
  • Identify opportunities to improve workflow, anticipate needs, and implement pragmatic solutions.
What You Have
  • Proven experience (3+ years) in office management, administrative coordination, or operations support.
  • Strong organizational and multitasking skills; ability to prioritize effectively.
  • Excellent interpersonal and communication skills; ability to work with diverse teams.
  • Proficiency in office software and collaboration tools (Google Workspace, Microsoft Office, Slack).
  • Problem-solving mindset with the ability to anticipate needs and implement solutions.
The Extras That Set You Apart
  • Familiarity with HR processes such as onboarding, benefits administration, and compliance.
  • Budget management experience or familiarity with financial tracking.
  • Event planning experience and coordinating employee engagement programs.
  • Strong project management skills and comfort working independently.
  • Experience with IT support coordination, vendor management, and office equipment management.
