Job Description

Primary Purpose Facilitate the efficient operation of the athletics and physical education K-12 program by providing clerical support to the Director of Athletics and Coordinator of Health/Physical Education/Assistant Director of Athletics. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD. Qualifications Education/Certification/Licensure High school diploma or GED Special Knowledge/Skills Effective communication and interpersonal skills Proficient computer, word processing, and file maintenance skills Strong organizational skills Knowledge of general office equipment Basic math skills Interpretive and reasoning skills Ability to maintain confidentiality; multi task and work with little or no supervision Experience Minimum of 3 years secretarial and bookkeeping experience, preferably in a public education environment And/or Post High School Business Management coursework. Major Responsibilities and Duties Perform the routine work activities and practices associated with a productive office, including but not limited to exercising good telephone etiquette, taking reliable messages, typing correspondence and reports, sending and retrieving email messages and facsimiles, maintaining and retrieving information files, preparing mail for review and distribution. Maintain calendar, including scheduling needed appointments and meetings. Interface with the community in person and by phone in a positive and informed manner regarding issues that affect students, staff, and community. Assist with special departmental events. Accurately process/reconcile all purchase orders, invoices, and athletic pay sheets. Maintain accurate data reflecting expenditures of the PE supply and staff development budget. Respond appropriately to routine inquiries and requests from administrators, campus bookkeepers, and Athletic/PE staff. Receive and process travel requests and reimbursement forms for the athletic and P.E. staff including competitions, conferences, and post district advancement in a timely manner. Order and maintain inventory of office supplies; monitor maintenance of office equipment. Make TEA and UIL policy statements to teachers, coaches, parents, and community. Prepare workshop materials. Prepare financial statement for play-off games hosted by the district. Disseminate all necessary materials to high school and intermediate coordinators, coaches, staff, and principals. Post athletic schedule of events, PE News information for High Schools and Intermediate Schools on district website. Maintain district files on PE waivers. Ensure confidentiality at all times. Stay informed of and comply with all federal, state, and district policies and regulations concerning primary job functions. Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met. Maintain a positive and professional tone in all communication (i.e. email, written, and verbal). Perform other duties and accept other responsibilities as assigned.
