Job Description

Administrative Assistant

Location: Redmond, WA

Work Schedule: Monday–Friday, 100% onsite

We are seeking a dedicated Administrative Assistant to support on-site operations and contribute to the efficiency and success of this fast-paced, collaborative environment.

Key Responsibilities

Onsite Group Administration:

  • Support two experienced executive administrators
  • Manage office operations, site space, and hardware inventory
  • Coordinate procurement and distribution of equipment and supplies

Calendar & Meeting Coordination:

  • Manage scheduling, particularly for senior executives
  • Organize and facilitate team meetings and onsite events

Team & Event Support (50% of role):

  • Order snacks, supplies, and materials to support daily team functions
  • Oversee logistics for on-site events and celebrations
  • Maintain budget tracking for team activities and purchases
  • Hardware and Inventory Management (20% of role):
  • Track, order, and organize IT hardware and office assets
  • Assist with desk setup and space reconfigurations

Executive Calendar Management (up to 20%):

  • Provide scheduling support for key stakeholders as needed

Qualifications

  • 2+ years of experience in administrative or operational support
  • Strong proficiency in Microsoft Office Suite, particularly Outlook and Excel (VLOOKUP experience is a plus)
  • Exceptional written and verbal communication skills
  • Demonstrated organizational skills and ability to multitask effectively
  • Proven experience supporting fast-paced, high-stakes environments

Preferred Qualifications

  • Prior experience supporting large-scale teams or executives
  • Ability to build rapport and maintain strong relationships across teams and levels
  • Self-starter with high attention to detail and ownership mindset

Candidate Must-Haves

  • Must be onsite 5 days a week in Redmond – no remote or hybrid options
  • A steady employment history – no frequent job changes
  • Ability to engage with senior-level team members confidently
