Administrative Assistant – Healthcare Setting
Location: Stony Brook, NY
Schedule: Monday – Friday, 9:00 AM – 5:30 PM
Pay: $23/hour
Position Overview:
We are seeking an experienced Administrative Assistant to provide essential support within a healthcare department. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple priorities while maintaining professionalism and confidentiality. This position plays a critical role in ensuring smooth daily operations and effective communication within the department.
Key Responsibilities:
Provide administrative support to managers and employees.
Schedule meetings, manage calendars, and prepare meeting materials.
Answer and direct phone calls; act as liaison with other departments and outside agencies.
Maintain confidential files and handle sensitive information with discretion.
Order office supplies and coordinate maintenance of office equipment.
Prepare payment requisitions, process mail, and maintain organized filing systems.
Make travel arrangements and assist in planning events or large gatherings.
Create and format presentations using Microsoft PowerPoint.
Update and maintain databases; perform data entry as needed.
Assist with day-to-day departmental operations and special projects.
Research issues and prepare reports or summaries as requested.
Qualifications:
Bachelor’s degree in a related field.
Minimum of 3 years’ administrative assistant experience, preferably in a healthcare setting.
Proficiency in Microsoft Office, including PowerPoint and Access.
Excellent organizational skills and strong attention to detail.
Ability to manage multiple tasks and work independently or as part of a team.
Strong communication and interpersonal skills.
