Base Salary Range: $83,000 -$87,000 - plus benefits

FTE : Full-Time -Exempt

General Summary: The Medical Administration Administrator/Assistant to the CMO is a senior-level administrative role providing direct support to the Chief Medical Officer, handling complex tasks such as managing the CMO’s calendar and correspondence, coordinating meetings and events supporting provider management, and assisting with the accreditation process and operational needs. Supervise medical administrative staff, conduct research, prepare CMO Report to the Board of Directors, and statistical reports, and serve as liaison to the medical management team. The ideal candidate will have to perform some of the following essential and clinical duties

  • Uses independent judgment to perform administrative and supervisory duties of medical administrative staff for the Chief Medical Officer, prepares information needed in CEO administrative decisions, and facilitates implementation of policies and programs.
  • Manage the CMO's calendar, screen and draft correspondence, and prepare for meetings.
  • Prepare agendas for meetings of Medical Assistants and Nursing Staff in support of the Clinical Director: prepare tentative agendas; add, delete and assign items as necessary; prepare final agenda; organize backup material, prepare additional packets for distribution to appropriate individuals as needed; notify general medical staff meetings and others required to attend meetings; attend and take minutes at general medical staff meetings.
  • Research and prepare the Chief Medical Officer’s medical report to the Board of Directors, review and maintain a subject index of all monthly Board of Directors’ reports for the Chief Medical Officer.
  • Serve as a liaison to and direct communications with the Clinical Director and the Quality Improvement Director, the Dental Director, and the Behavioral Health Director.
  • Assist with provider schedules, coordinate Continuing Medical Education (CME) requests and tracking, and help with recruitment activities.
  • Communicate effectively with internal and external stakeholders, including staff, providers, and regulatory bodies.
  • Coordinate office workflow to ensure the proper and timely completion of work; supervise, train, and provide work direction to the Provider Enrollment Credentialing Specialist and other clerical assistants.
  • Supervises the implementation of credentialing policies and procedures, including the coordination of credentialing of new providers, re-credentialing of existing providers, and maintenance of proper credentialing with IPAs.
  • Maintains an accurate spreadsheet of Medi-Cal and other providers who require credentialing. Coordinate with the Credentials Verification Organization (CVO); ensure that the providers’ licenses are up to date and accurate, and submit renewal of licenses to the appropriate entities.
  • Assist the Chief Medical Officer in presenting credentials of providers to the Board of Directors.
  • Assist Chief Medical Officer in the daily staffing and provider flow needs: coordinate with schedulers and locum agencies as needed.
  • Help coordinate interviews and the collection of information regarding interviewing possible medical staff candidates.
  • Type a variety of materials such as reports, correspondence, and other documents; proofread and edit materials to assure completeness, accuracy, and compliance with the Clinic's policies and procedures.
  • Prepare and maintain a variety of administrative records and files, including materials of a confidential nature; maintain control files concerning matters in progress and expedite completion.
  • Must maintain patient confidentiality in accordance with SCFHC policy and HIPPA guidelines.
  • Adhere to productivity requirements.

Qualifications & Experience Requirements:

  • HS Diploma required
  • Bachelor’s degree required
  • Knowledge of community resources in area.
  • Must have a minimum of 1-3 years’ experience in a community clinic or FQHC setting.
  • Comfortable working with diverse populations
  • Experience working with Limited English individuals in a small group format.

Skills and Abilities:

  • Bilingual and Bi-literate Spanish/English required.
  • Displays excellent oral, written and customer service skills.
  • Must be able to communicate effectively, in English, both verbally and written
  • Demonstrated ability to act as liaison between SCFHC staff, and patients.
  • Ability to work flexible hours.
  • Possesses and demonstrates professional telephone demeanor.
  • Possess reliable means of transportation.
