Overview:
The Parts Specialist/Manager is responsible for maintaining an efficient, organized, and customer-ready parts department that supports the productivity of the entire shop. This role requires attention to detail, strong organizational skills, and proactive communication with technicians, service advisors, and vendors.

Primary Responsibilities:

  • Maintain a clean and organized parts room that is presentable for customers at all times. The current condition must be improved to reflect professionalism.
  • Organize all parts clearly and consistently into either “Inventory” or “Special Order” (SO) categories. Any unrelated or unneeded items must be removed—this is a working parts room, not a general storage area.
  • Ensure every part is labeled with a shelf and bin number to allow for quick and easy access.
  • Maintain accurate inventory records in Tekmetric , including correct quantities. Negative stock counts—such as full oil totes showing in the negative—must be corrected and prevented going forward.
  • Prevent inventory loss by returning cores and unused parts in a timely manner. Any inventory losses will be deducted from the commission portion of compensation.
  • Utilize the off-site storage facility effectively to keep the main parts room clear and functional while managing larger inventory levels.
  • Apply and maintain the current parts pricing matrix to ensure proper markup and protect department profitability.
  • Receive and stock incoming parts promptly, ensuring they are accurately entered into inventory and labeled properly.
  • Support technicians in locating correct parts and resolving part-related questions.
  • Manage and track special order parts from request through delivery.
  • Maintain clear communication with the foreman and technicians to ensure all required parts are available for upcoming jobs.
  • Handle outside parts sales , including walk-in customers purchasing parts only.
  • Keep a professional, customer-ready desk area that reflects the same level of organization expected in the parts room.
  • The customer shuttle is no longer a responsibility of the parts department, except under specific, pre-approved circumstances.

Once trained, this job has very little supervision and will require you to independently maintain and keep our parts department profitable. Performance standards will always be required. You must have some type of qualification/previous work history that shows you have at least basic knowledge of vehicles/auto parts/repair that will enable you to effectively perform this at this job.
