Position: Events Director

With over 27 years’ experience, Baptie & Company’s communities and events provide invaluable insights on the latest trends, sales, marketing and management issues through peer-to-peer interaction.

We are currently recruiting for a dynamic, highly motivated, organized, detailed oriented, passionate and confident person to plan, execute, speaker recruit, and coordinate in person and virtual events.

This position will be working directly with our CEO, Chief of Staff and Community Sales & Marketing Director. This role will involve travel within the US and possibly Europe.

Description

As the Events Director, you’ll oversee all aspects of our events program—from strategy to execution.

Responsible for successful administration of each event, including planning, recruiting, implementing, executing and follow-up. This also includes researching, maintaining and adding all speaker information in Community databases for presale event efforts, marketing purposes and speaker management and sponsors management.

This includes conferences, corporate meetings, trade shows, webinars and more. You'll manage budgets, negotiate with vendors, and ensure every event aligns with our goals and values.

To be successful in this position, the Events Director must demonstrate strong interpersonal and teamwork skills. Highly motivated at meeting timeline expectations.

He/she must be a people person, have a strong sense of responsibility, self-starter, self-motivation, and flexibility. Incredible communication skills, creative mind for new ideas and problem-solving mind that can handle any unexpected twist.

This person must be extremely detail-oriented, able to manage multiple projects simultaneously, must take initiative, must function effectively under pressure. A sales and communications background is extremely helpful.

He/she should not be afraid of technology. Experience in the IT industry and with Cvent is preferred but not necessary.

Responsibilities:

· Plan, coordinate, and execute events from start to finish

· Manage budgets, timelines, and vendor relationships

· Collaborate with internal teams and clients to ensure event success

· Handle logistics, including venue selection, logistics coordination, transportation, and catering

· Help to oversee event marketing and promotion with Marketing Director

· Ensure seamless execution on the day-of, managing staff and ensuring the event runs smoothly

· Compile information on speakers to send to Community Sales & Marketing Director

to post to the web site (including but not limited to biographies, pictures and updated agenda with speaker topic)

· Manage speaker updates on events agendas

· Manage speaker audio visual requirements for their presentations

· Schedule calls to review presentations with Baptie CEO

· Develop pre-event blogs/webinars

· In charge of Council communication (Identify and contact council members)

· Sponsor liaising

· Promotional material – chase and make sure we have, check website is updated

· Delegate liaising and communication

Desired Essential Skills

· BA or equivalent work experience in related field

· Meeting planner experience over the last 5 + years

· Proven experience as an events manager or similar role

· Strong project management skills and attention to detail

· Comfortable relating with C Level Suite Executives

“Hybrid” work schedule:

After an initial training period, this position may work a maximum of three days per week from home.
