Job Summary
Full Time/Permanent - 4 day work week
We are seeking a friendly, organized, and professional Office Administrator/Receptionist to be the first point of contact for our company. This role is responsible for creating a positive impression by greeting visitors in person and over the phone, directing calls and inquiries, and providing general administrative support. The ideal candidate will have excellent communication skills, strong attention to detail, and a good level of proficiency in Microsoft Office tools.
Key Responsibilities
• Greet and welcome visitors in a warm, professional manner, both in person and phone.
• Answer, screen, forward and or/take messages on incoming phone calls promptly and courteously.
• Process daily mail, daily bank deposits and postings.
• Invoice entry, advertisement processing and contract handling.
• Proofread documents, advertisements, bulletin covers and contracts for accuracy and clarity.
• Handle faxing, emailing, copying, filing, and other clerical duties as required.
• Maintain office supplies to ensure smooth office operations.
• Make collection calls and handle customer account follow-ups.
• Address customer inquiries, complaints, and collection matters with diplomacy and professionalism.
• Maintain a clean and organized front desk and reception area.
• Use Microsoft Office, Excel, and Outlook proficiently in daily tasks.
• Uphold a positive and customer-focused attitude at all time
Requirements
• Proven experience as an office administrator or similar role.
• Excellent verbal and written communication skills in English.
• Strong grammar, spelling, and proofreading abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) as well as good computer literacy.
• Professional appearance and demeanor.
• Ability to multitask and manage time effectively in a fast-paced environment.
• Strong interpersonal skills and a positive, can-do attitude.
• Experience with customer service and handling sensitive situations with diplomacy.
• Familiarity with office multi-line phone systems.
