Job Title: Office Manager

Location: Freehold, NJ

Position Type: Full-Time

Job Summary: Exelegent is seeking a detail-oriented and experienced Office Manager to join our IT company. The ideal candidate will be responsible for managing day-to-day office operations, providing excellent customer support, handling light bookkeeping tasks, and maintaining knowledge of accounts payable and receivable processes.

Key Responsibilities:

1. Office Management

  • Oversee and coordinate daily office operations and procedures.
  • Ensure office supplies are maintained, including inventory and ordering new supplies as necessary.
  • Manage schedules, appointments, and travel arrangements for staff.
  • Ensure the office environment is clean, organized, and conducive to productivity.

2. Customer Support

  • Provide exceptional customer service by handling inquiries, complaints, and requests in a professional and timely manner.
  • Maintain a positive and welcoming office atmosphere for clients, visitors, and employees.
  • Assist with client onboarding and follow-up processes.

3. Light Bookkeeping

  • Perform basic bookkeeping tasks, including data entry, maintaining financial records, and reconciling accounts.
  • Assist with preparing financial reports and statements.
  • Monitor and record company expenses.

4. Accounts Payable and Receivable:

  • Process accounts payable and receivable transactions accurately and on time.
  • Prepare and send invoices, manage collections, and follow up on overdue accounts.
  • Ensure compliance with company policies and financial regulations.

Qualifications:

  • Proven experience as an office manager, administrative assistant, or similar role.
  • Strong knowledge of office management responsibilities, systems, and procedures.
  • Familiarity with basic bookkeeping principles and accounting software (e.g., QuickBooks).
  • Experience with accounts payable and receivable processes.
  • Excellent customer service and interpersonal skills.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.

Education and Experience:

  • High school diploma or equivalent; Bachelor’s degree in business administration or related field preferred.
  • Minimum of 2-3 years of experience in office management, bookkeeping, or a similar role.
