Job Description

POSITION TITLE: Special Education Administrative Assistant

FLSA: Non Exempt

REPORTS TO AND EVALUATED BY: Director of Special Education

TERMS OF EMPLOYMENT: Administrative Staff - 10 months - Class B with benefits according to the LEA Unit D collective bargaining agreement.

August 25, 2025 start date. 18 hours per week. Mondays, Wednesdays and Friday preferred (open for discussion). This is a non-health benefits eligible position.

Salary range: $31.13 - $38.88 per hour.

JOB GOAL:

Employee performs a variety of secretarial and reception duties to support the operations of the office.

ESSENTIAL FUNCTIONS:

    • Provide extensive customer service in person, via telephone and email
    • Support Evaluation Team Supervisors with a variety of administrative duties
    • Maintain calendars to track IEPs
    • Prepare correspondence and distribute as necessary
    • Send meeting invitations, IEP documents, track consent forms
    • Coordinate semiannual department coffee/breakfast
    • Maintain IEP access log tracking teachers viewing of IEP; generate corresponding reports
    • Process information for student transfers, updating student database
    • Process transportation forms, compile and track information
    • Participates in special projects, as needed
    • Performs a variety of related duties

EDUCATION & EXPERIENCE:

High school diploma or equivalent and 1 - 3 years of experience in administrative, clerical, financial or secretarial work, preferably in a school environment; or any equivalent combination of education, training, certification and experience.

Must have knowledge of clerical and office management principles and practices, and computer systems, word processing, spreadsheet, and database software

Ability to establish and maintain effective and harmonious working relationships with the public, officials and department personnel; ability to work independently in an efficient manner; ability to communicate effectively in written and oral form; ability to establish and maintain a record keeping systems; ability to operate a telephone and standard office equipment; ability to manage multiple tasks in an efficient manner; ability to deal tactfully with disgruntled people.

Skill in operating computers and applicable word processing and statistical applications; excellent customer service skills. Must have strong record keeping, bookkeeping, secretarial, organization, communication and customer service skills.
