Integrity Educational Services is seeking a Part time (2 days/week) Special Education Administrative Assistant interested in serving students at Lighthouse Academy and Hope Academy of West Michigan.

GENERAL PURPOSE : The Part Time Special Education Administrative Assistant assists the SPED team by overseeing timely and accurate special education information, for providing clerical support and assistance to the special education team and to maintain all special education records and databases. The Special Education Administrative Assistant subscribes to the vision, mission and values of Integrity Educational Services and the applicable academies.

ESSENTIAL FUNCTIONS:

  1. Entering data into the online student information system, making sure SPED information is correct for reporting.
  2. Collaborates with others (e.g. district superintendent, teachers, building principals, other professional staff, parent groups, community organizations, public agencies, etc.) for the purpose of implementing and maintaining services in accordance with programmatic and regulatory requirements.
  3. Consults with district special education/general education staff for the purpose of maintaining accuracy of special education documents and ensuring documents are completed in a timely manner.
  4. Consults with district special education/general education staff for the purpose of maintaining existing programs and implementing new services in accordance with established timeframes, professional standards, and related requirements.
  5. Facilitates meetings by sending out meeting invitations, maintains meeting attendee information, reserving conference rooms, etc. for meetings that may frequently involve a range of issues for the purpose of evaluating situations, identifying appropriate actions, developing recommendations, and/or implementing desired program changes.
  6. Manages assigned programs and/or services for the purpose of achieving outcomes in relation to program objectives, and ensuring conformance with legal, financial, and districts requirements.
  7. Assist the SPED Director and/or case managers, when necessary, with IEP or other special education related needs.
  8. As directed by HR, the SPED Director and/or building leaders, assists other personnel as may be required for the purpose of supporting personnel in the completion of their SPED work activities.
  9. MIPSE manages students, caseloads, staff, IEPs. Monitoring/reviewing and ensuring SPED documents are done correctly and in timely manners.
  10. Medicaid logging / staff pool updating staff employment.
  11. Continuous Improvement Monitoring System (State site) Assist the SPED Director with data collection and monitoring requirements for the State monitoring special education system.
  12. Assist Office Manager by accessing CA60s and other special education documents needed from schools.
  13. Work with the Pupil Accounting Coordinator by compiling special education information for state reporting.
  14. Perform all other duties, as assigned.

MINIMUM REQUIREMENTS : The minimum qualifications needed to perform the essential functions of the job such as education, experience, competencies, knowledge and skills are listed below.

Qualifications : To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, ability or competence required.

Education and/or Experience: High school diploma with additional course work in Secretarial Science or a related field preferred. A minimum of three (3) years related clerical experience is required.

Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to students, parents, and other employees of the organization.

Mathematic Skills: Ability to do simple computations, calculate percentages, and use a calculator.

Reasoning Ability: Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills: Knowledge of Microsoft or Google applications and/or willingness to learn various computer based programs, such as the student information system or other programs utilized in this position.

Certificates, Licenses, Registrations: N/A

Training: Must participate in and complete annual training, Professional Development, and various other training as deemed appropriate for position.

Other Qualifications: Must pass criminal history records search, physical and drug screen, if required.
